In-Library Consultations

Reading Room Equipment 

 The Library’s Reading Room extends over two floors with different numbered desks assigned to users at the Library Reception. This room has:

  • Wi-Fi with an internet connection for public use. The network is called ‘MNCARS_Biblioteca’ and has a bandwidth of 600 Mbps, with a limit of 30 Mbps per user.
  • Plug sockets for electronic devices.
  • Computers for consulting the Library catalogue, electronic resources subscribed to, SIMARS, LaDigitaldelReina and Library documents in DVD or CD format.
  • A computer set up for consultations of the Central Archive’s Digital Repository and without internet access.
  • Tablets for exclusive use in the Reading Room.
  • Two wheelchairs, a magnetic induction loop, two lecterns with adapted trays, two trackball computer mice and two manual electronic magnifiers. These resources can be requested from the Library staff.
  • Self-service copying equipment.

Types of In-Library Consultations

The consultation of the Library’s collections and holdings is carried out solely in the Reading Room, given that out-of-library loans are not possible. Available holdings include those with free access, loans and in digital formats. Should documents be in different formats, digital consultations will be prioritised to guarantee their proper conservation.  

The Library Guide (in Spanish) provides guidance on how to carry out catalogue searches and outlines the procedure for consulting different types of collections and holdings, according to the location of copies.  

In-library consultations are subject to the Library’s terms of access and use.  

Free-access Holdings

These holdings are located on the two floors of the Reading Room. Users can take them directly from the bookshelves and consult them at the allocated desks. Once they have finished, they must be left in the Library trolleys and tables indicated for such purposes.  

The Library plan shows the location of the copies by reference code i.e. an alphanumeric code which identifies them and which can be consulted in the catalogue.

  • Floor -1: catalogues and monographs on artists, photographers, film-makers, etc.  ordered alphabetically. The reference number of these titles starts with 7/8, followed by the surname of the artist in question. For example: 7/8 PICASSO, Pablo; or 7/8 FERRER, Esther. On this floor there are also the latest issues of the periodical publications to which the Library subscribes.
  • Floor +1: titles on different topics related to contemporary art: art techniques, design, architecture, museography, art fairs, collective exhibition catalogues, dictionaries and encyclopaedias, among others. The books are grouped by theme and adhere to the Universal Decimal Classification (UDC), in line with other libraries.

Biblioteca y Centro de Documentación del Museo Reina Sofía

In addition to free-access books and magazines, other documents conserved in the Library’s holdings can only be consulted via a loan request and with an ID document submitted to Library staff.  

Publications requiring greater protection (special materials and collections) can only be consulted at the desks allocated for such purposes on Floor -1 and only pencils can be used. The use of pens, fountain pens, markers, etc. is not allowed. These holdings are given to users one at a time or three at a time, depending on the fragile nature, value and volume of the materials. 

To consult audiovisual material, computers are available to users which allow documents to be played in DVD and CD formats, in addition to portable players which can be requested from the Library staff.  

If the materials which are the subject of consultation are part of the collection of Archives and Documentary holdings, the user will be given a specific consultation form (in Spanish) which must be duly completed, signed and submitted at the desk on Floor -1. Access to this documentation and the data held within does not make the borrower exempt from respecting and adhering to the legislation related to personal data protection, copyright, personal and family privacy and the image itself and intellectual property.

Digital Holdings

The Library houses a major set of digital resources which includes e-books, journals and other serial publications, databases and the digitised collections holdings included in LaDigitaldelReina, and accessible from the Reading Room. In some instances, these can be accessed via the Library’s Wi-Fi and in other cases they must be accessed on the public computers made available for such ends.

Databases

The main database platforms are:

  • SIMARS: database of works that make up the Museo Reina Sofía Collection  
  • ARTPRICE: specialised in the art market and comprising over thirty million auctions  
  • JSTOR: comprising scientific publications from different disciplines, including art history, history and philosophy, among others, with issues of and full articles from over 2,600 magazines available for consultation, as well as access to around 90,000 electronic books  
  • Ebook Central: specialised in electronic books.  
  • Dialnet Plus: an advanced version of Dialnet, a database characterised by the inclusion of indexes of magazines and books, in addition to the complete online texts of a large number of documents.  

LaDigitaldelReina 

The LaDigitaldelReina platform gathers the digital holdings (digitised or born digital) of the different collections that make up the Museo, including artistic, documentary and bibliographic heritage. Users can access these resources from their own personal devices, connecting to the Library’s Wi-Fi or from the computers set up for such purposes in the Reading Room. Consultations from networks that are external to the Museo’s are limited by copyright.

My Library

My Library is a personal space which is accessible from the Library catalogue and allows users to carry out different actions such as consulting current reservations, storing links and forming wish lists. Once users have signed in on the main catalogue page, access to My Library will appear just below their name.

For further information, users can check the My Library, Reserving copies document and the Library Guide (all in Spanish), or ask staff in the Reading Room. 

Login 

To log in to a personalised My Library session, users must enter their username and password.  

The username corresponds to users’ email address or ID document or passport number without letters or full stops (if this sequence is incorrect, an 0 will be added at the beginning). By defect, the password is users’ ID or passport number without letters or full stops. This password can be changed from the My Library section. 

Reserving Copies 

Users interested in consulting loaned copies can reserve them from the Library Catalogue. When they become available, users will be notified by email and the documents will be set aside in their name for a number of days and will be available for consultation in the Reading Room.

Mailing Lists of Serials 

Library users can request to be included on the distribution lists of magazines and other types of serial publications to which the Library subscribes by writing to biblioteca@museoreinasofia.es. They will receive a notification in their email each time a new edition of interest becomes accessible in the Library.

Reproducing Holdings

Use of Reproductions

The reproduction of documents will be carried out exclusively for private use for research purposes, adhering to the regulations in force established by the Royal Decree Law 11/1996, of 12 April, by which the Consolidated Text of the Intellectual Property Law is approved.

  • Works in the public domain: these can be reproduced, distributed and/or publicly disclosed, for both personal and private use and without the need for a licence. In all cases, the moral rights of recognising authorship and respecting the entirety of the work will be adhered to.    
  • Works with exploitation rights: the Archive’s reproduction authorisation will not cover, under any circumstances, the image rights and copyright from the publications (articles 17 to 21 and 56 of Spain’s Intellectual Property Law). Applicants are responsible for obtaining the correct authorisations for the reproduction, distribution and/or public disclosure of the works, unless it involves a use safeguarded by one of the legal limits of intellectual property (quotations, illustration for teaching purposes, etc. regulated in Articles 31 to 40 of Spain’s Intellectual Property Law). Users must acquire a licence from the copyright holders or, if applicable, from the collective rights management bodies representing them, such as CEDRO, VEGAP and SGAE.
  • The reproductions obtained are not for commercial use and cannot be given or loaned to third parties.
  • To reproduce certain documents or materials with the aim of being published or reproduced in any medium or support, those interested must sign a standard agreement with the Museo Reina Sofía.    

Reprography Room and Photographs Taken on Mobile Devices

The Library has a Reprography Room on Floor -1 with a self-service photocopier which works with coins and provides change (Library staff do not provide change). 

For the purposes of conservation, only holdings belonging to the following reference numbers and locations can be reproduced:  

  • Free-access copies in the Reading Room (Floors +1 and -1).  
  • Loaned books under the reference codes MAN, DUP, SUPERMAN, Box Flyers, Large Flyers, VAR and CS.
  • Loaned serial publications with the reference codes REVV, REVM and SUELTAS. 

Furthermore, on Floors +1 and -1 there are different desks in which these holdings can be photographed with mobile devices by virtue of the licence entered into by the Museo Reina Sofía and CEDRO. This licence does not cover (and, therefore, does not allow photographs of) sheet music, graphic art and photographic pieces. The terms and conditions outlined in the CEDRO licence are available to users.

The use of mobile devices must adhere to the following conditions: 

  • Photographs must be taken by the Library staff’s desk.  
  • A maximum of 10% of the work can be photographed.  
  • Parts of materials cannot be photographed in such a way that their total constitutes a unit or compendium.  
  • On a form available for such purposes, users must make a note of: the catalogue number, reference number, barcode and number of pages photographed.

Document Access Service (DAS)

The Document Access Services provides, on the one hand, the reproduction of the Library’s collections and holdings that require greater protection and is made by prior request by writing to sacd@museoreinasofia.es, stating the known details of the desired publication. Please verify that they belong to the available holdings in the Library Catalogue. The reproduction of magazine articles, book chapters or excerpts, photographs and sound and audiovisual recordings can be requested.  

And, on the other, the DAS offers users reproductions of documents from the Central Archive, which requires them to fill out a reprography request form (in Spanish), highlighting the reproductions to make. This reproduction will depend upon documents’ state of conservation and that which is established by the legislation in force and specifically in Law 16/1985, of 25 June, on Spanish Historical Heritage and Royal Decree 1708/2011, of 18 November, by which the Spanish Archive System is established and regulated by the Archive System of the General State Administration and its Public Organisations and system of access.  

Once the request has been submitted, the service’s staff will instruct users on the steps to follow and will draw up a quote, in accordance with the type of reproduction requested and its use.  

The rates for reproductions are established in the Resolution of 18 July 2014, of the Museo Nacional Centro de Arte Reina Sofía, by which the Agreement of the Royal Board of Trustees’ Standing Committee is published, and by which commercial prices for rendering the Museo’s services and activities is established (BOE, Official State Gazette, No. 186, of 1 August 2014).  

Reproduction work will only begin once the quote has been approved and the proof of payment has been sent to the Digital Access Service. 

Once the requested document has been obtained, users will be notified of its availability by email. 

Meeting Rooms

The Library has a Meeting Room with a 14-person capacity, a space in which users can hold group work meetings, with priority given to those related to contemporary art projectsand to prepare the Museo’s activities, as well as the consultation of specific holdings for work groups. The room boasts a large table, chairs, TV screen, whiteboard and different coloured markers, and must be requested from the desk on Floor -1.  

This space must be reserved via email at least one day in advance by writing to biblioteca.sala@museoreinasofia.es.  

The Meeting Room is run according to the Library’s regulations of general access and use.

Visits

Inside the framework of the mediation programme Almost Books, the Library periodically develops the initiative Magnetised Needle, a series of visits devised to draw attention to its holdings and facilities. There are also on-demand guided tours geared towards the education community or groups interested in themes linked to the art world, museology, librarianship and archival science.  

This type of tour must be requested beforehand via email by writing to biblioteca@museoreinasofia.es, indicating group details and the planned date. The maximum number of participants is 15. 

Training

With the aim of expanding knowledge on the Library’s resources and services, training sessions are also available to users, as well as different information resources framed within the project Look Closely, which is part of the mediation programme Almost Books.

Donation Proposals

The Library’s collections and holdings are enhanced through different channels, most notably including the donation of bibliographic materials and documents by individuals and institutions. These donations can consist of either a few copies or documents, and extensive series or the personal archives of artists, art critics, galleries and other entities linked to contemporary art. This entry channel, free of charge and unconditional, contributes to enriching the Library’s collections and holdings and ensures they are conserved and disseminated among specialists, researchers and the general public. Although different types of documents are accepted, they must be consistent with the existing acquisitions policy and must be sustainable in terms of institutional resources and processes.

Donations Policy

Acquisitions are aligned around the following guidelines:

  • Documents related to contemporary art, culture and thought produced from 1881 onwards and which are not part of the Library Catalogue.  
  • Documents included in the Catalogue that are significant and have exhibition value and, therefore, warrant duplicate copies.  
  • Periodical publications that complete existing collections.  
  • Single collections or issues of serials publications related to contemporary art, the titles which are not part of the Catalogue.  
  • Handwritten copies and personal archives of artists, critics, art galleries and other organisations.  

In all cases, the incorporation of Western languages and writings will be prioritised, and any possible exceptions will be duly studied.  

As a general criterion, offers which do not fit within these basic guidelines will be rejected, and copies with any of the characteristics below will not be accepted: 

  • Books, magazines/journals or printouts in languages with very few speakers in Spanish, Latin American and European spheres, for instance languages with non-Western alphabets. However, there are certain exceptions in relation to works of particular relevance.
  • Books, magazines/journals or printouts that are not in a decent or acceptable state of conservation, for example incomplete, unbound or underlined copies, etc.    
  • Re-bound magazines/journals.   

Donation Procedure

To donate bibliographical or documentary material, the following steps must be followed:

  • Fill out the pertinent donation proposal form (in Spanish) and send it via email to donaciones.biblioteca@museoreinasofia.es. If the list of materials is long, there is also the possibility of providing personal details on a form and attaching a spreadsheet with the titles put forward for donation, outlining, if necessary, in the case of books, the title, author, publisher, year of publication and ISBN and, for magazines and other serials, the title, publisher, ISSN, issues/volumes and corresponding years of publication.  To donate an archive, documentary holding or documentary or library series related to contemporary art, please write to donaciones.biblioteca@museoreinasofia.es. The Library will reply as soon as possible.  
  • Sending donated material. If the initial assessment of the proposal is favourable, the donation will be sent to the Library to check the physical state of the documents and, if necessary, to formalise its approval. The donation in question can be sent by standard post or delivered in person in the Reading Room. Given that the materials’ state of conservation is a key aspect, the approval of the donation proposal will not be definitive until it is examined.  
  • Broadly speaking, donations will not be received personally or in-house that have not been previously assessed favourably by the Library. For all proposals which are ultimately not approved, the Library reserves the right to freely have available copies. 

Acquisitions Request

The Library makes a wish list form (in Spanish) available to users to suggest the acquisition of copies which are not currently part of the Catalogue. The form is also available at the desks of the Reading Room. Once completed, it can be submitted to Library staff or sent by email to adquisiciones.biblioteca@museoreinasofia.es, stating in the subject line “Wish list”.

Central Archive Services

The Museo Reina Sofía’s Central Archive conserves documentation created by both the Museo and its former bodies, such as the Museo Nacional de Arte Moderno, the Museo Nacional de Arte Contemporáneo and the Museo Español de Arte Contemporáneo. Its holdings are predominantly technical and administrative and include restoration and conservation reports, temporary exhibition dossiers, Board of Trustee records and minutes and documentation of works withdrawn for temporary exhibitions, among other aspects. 

In-library Consultations

Users can consult documents from the Central Archive via a prior appointment system by sending an email to archivo@museoreinasofia.es, attaching the request form stating the documentation of interest.  

The request must be made a number of days in advance given that the Archive staff need time to find the requested materials and process, if necessary, the transfer of documents found in external premises. Once this process is concluded, the Archive will notify users of the results by email and will agree a day and time for in-person consultation.

Reproducing Holdings

The Document Access Service provides (DAS) reproductions of documents to users of the Central Archive. These reproductions are subject to the condition of the documents and the provisions of current legislation, specifically Law 16/1985 of 25 June on Spanish Historical Heritage and Royal Decree 1708/2011 of 18 November which establishes the Spanish Archival System and regulates the Archival System of the General State Administration and its Public Bodies and their access regime. The Document Access Service will apply public rates in accordance with Resolution of 18 July 2014, of the Museo Nacional Centro de Arte Reina Sofía, by which the Agreement of the Royal Board of Trustees’ Standing Committee is published, and by which commercial prices for rendering the Museo’s services and activities is established (BOE, Official State Gazette, No. 186, of 1 August 2014).

Services for Institutions

The Museo Reina Sofía Library offers specialised services for institutions, thereby facilitating access and collaboration in the bibliographic sphere via inter-library loans and the exchange of publications.

Inter-library Loans

The inter-library loan service is intended exclusively for libraries from other institutions and under no circumstances will loans be made to individuals. Requests must be made by writing to prestamo.interbibliotecario@museoreinasofia.es with sufficient bibliographic information to identify the requested materials.

Excluded from inter-library loans are:

  • Full instalments of magazines/journals.  
  • Reference works.  
  • Publications with the reference codes: REVII, REVVA, FL, LA, RESERVA, ME, SP, MS, DUPII, EPHR, EPH, EPHM, Arch., FAN, COM, CDME, DVDME, CDRME, VINS, VINL.  
  • Copies which are part of the Lafuente Archive Collection. 
  • All copies which, in the opinion of those responsible, do not fulfil the requirements demanded to safeguard the protection of the loaned works.  
  • Requests for book chapters and articles from serial publications are processed via the Document Access Service. 

Inter-library Loan Conditions 

  • Inter-library loans will last for one month from the time the copy is sent. Extensions may be requested, provided the loan period has not expired. New requests will not be processed once the period for returning the copy has been exceeded.   
  • The Museo Reina Sofía Library does not assume the corresponding expenses for requests, establishing the following rates for each loaned volume:   
    • For Spanish libraries: €8.00  
    • For European libraries: €16.00    
    • For libraries from other countries: €32.00  
    • In the case of public institutions and private, non-profit entities, there will be a 50% reduction. 
  • The library placing the request is responsible for conserving the loaned works, and the copy must not leave the said library or be reproduced in any format and must be returned fully packaged.
  • The loan will be made solely for research and study purposes and the institution commits to adhering to, at all times, the legislation in force regarding copyright, and to requesting the pertinent licences from the copyright holder for purposes that differ from those indicated and which are not covered by copyright limits.

Publication Exchanges

The Library maintains publication Exchange Agreements with over one hundred intuitions in Spain and overseas. These agreements have been put in place to disseminate titles published by the Museo among the foremost libraries specialised in contemporary art and, equally, to expand and complete the Library’s holdings and collections with exhibition catalogues from around the world, discontinued and hard-to-find books or single issues of magazines/journals, among others.  

Moreover, the Library periodically draws up a list of documents offered to other institutions in the form of exchanges, so as to receive an interchange of documents that may fit the specific nature of its holdings.    

Institutions wishing to become part of this programme of bibliographical exchange can send their request to canje.biblioteca@museoreinasofia.es. The publications published by the Museo can be reviewed in the Publications section.
