Regulations of the Museo’s Library and Central Archive
Regulations and Access
When consulting the Library collections and Central Archive materials, and using their facilities, users must accept the stipulated regulations. Without detriment to the specific conditions regulating each service, a series of general regulations are therefore established.
Accessing the Library
- The Library’s opening times are from Monday to Friday, from 9am to 9pm, except public holidays.
- Access is free and of no charge for people over the age of 14. Children under this age can only access in the company of an adult.
- The Library Card is required to gain access and use the facilities and resources of the Library and Central Archive.
- Upon entry, the Reception staff will issue an ID tag including the number of the reading desk and the locker assigned. The desk number and assigned locker must be adhered to at all times. Any change must be authorised and Reception staff must be informed beforehand. This tag must always be worn where it is visible. Upon leaving the Library, this must be returned to the Reception desk to sign out.
- Users with a general Library Card can only occupy reading desks reserved for this category.
- Leaving the allocated Reading desk for more than 30 minutes will automatically result in it being re-allocated.
- The Library has a series of resources which improve accessibility to the Reading Room: a fixed magnetic loop system, at the user assistance desks, two lecterns with adapted trays, two trackball type computer mice, two contrast keyboards, two manual electronic magnifiers and two wheelchairs. All of these resources can be requested at the desks on Floor +1 and Floor -1 of the Library.
Lockers and Permitted Belongings
- The Library’s Reading Room can be accessed with laptops, used without sound, mobile phones in silent mode, books and notes. Trays are available for carrying permitted belongings.
- To guarantee the conservation of bibliographic and documentary material, no food or drink is allowed, including bottles, flasks and other empty recipients, and umbrellas, pointed or sharp objects, any other types of bags, different layers of clothing, computer covers or cases, cameras, either photographic or video, tripods, selfie sticks and other forms of tripod are not allowed in the Library. Lockers work with a passcode system personalised by each user.
- The Museo is not responsible for personal belongings left in the Library facilities (access control, locker area, Space D and/or the Reading Room).
- All objects that do not fit in the lockers at the Library’s access control must be kept in the Museo’s lockers located in the Nouvel Building and the Sabatini Building.
Access to the Central Archive
- The Central Archive is open from Monday to Friday from 9am to 2pm, except for public holidays.
- Its facilities are accessed with the Library Card and via a prior appointment system by sending an email to archivo@museoreinasofia.es.
Access to Space D
- Space D, accessible to the public and free of charge, is an area in which a programme of temporary exhibitions is developed. It is located on Floor 0 of the Nouvel Building, next to the Library, with which it shares the same opening times.
- A Library Card is not required to explore this space; users simply need to go to the Reception desk, where a locker and access card, which must be returned upon departure, will be provided.
Consultation Regulations
Consulting Library materials
- Upon receiving loaned materials, users must submit an ID document, which will be withheld by the Archive staff until the said documents are returned.
- Users are responsible for the care and protection of the documents they consult.
- Documents must be handled by adhering to basic norms of conservation:
- The original order must be scrupulously maintained.
- Writing and notes made on documents is not allowed.
- Elements cannot be used which may compromise the document’s integrity.
- Consultations are carried out at the desks reserved for special collections on Floor -1 of the Library’s Reading Room. Only pencils can be used during consultations. Pens, fountain pens, markers, etc. are not allowed.
- If the materials which are the subject of consultation are part of the collection of Archives and Documentary holdings, the user will be given a specific consultation form (in Spanish) which must be duly completed, signed and submitted at the desk on Floor -1. Access to this documentation and the data held within does not make the borrower exempt from respecting and adhering to the legislation related to personal data protection, copyright, personal and family privacy and the image itself and intellectual property.
Consulting the Central Archive
- Consultations are carried out at the desks reserved for special collections on Floor -1 of the Library’s Reading Room, and on the day and at the time scheduled previously with the Central Archive. To access the facilities, users must submit their Library Card.
- Upon receiving materials, users must submit an ID document, which will be withheld by the Archive staff until the said documents are returned.
- Users are responsible for the care and protection of the documents they consult.

- Various users cannot consult the same document unit at the same time (apart from exceptions identified and authorised by the Central Archive).
- Documents must remain at the table allocated to users. These documents cannot be exchanged or moved from the said desk Documents must be handled by adhering to basic norms of conservation:

- Folding documents, leaning on them or placing paper on top of them to take notes is forbidden.

Regulations for the Reproduction of Holdings
Reproducing Library materials
- Most materials can be reproduced in accordance with that established by Spain’s Intellectual Property Law. To make photocopies, the Library has self-service copying available which works with coins (Library staff cannot provide change).
- Mobile devices can be used to photograph some Library materials, according to the established procedure.
- For conservation reasons, documents which are part of special collections and holdings cannot be photocopied. The reproduction of these documents must be requested via email by writing to sacd@museoreinasofia.es. Should the state of conservation of the material in question allow it, the Document Access Service (DAS) will carry out these reproductions in adherence with public rates, according to the Resolution of 18 July 2014, of the Museo Nacional Centro de Arte Reina Sofía, by which the Agreement of the Royal Board of Trustees’ Standing Committee is published, and by which the commercial prices for rendering the Museo’s services and activities are established (BOE, Official State Gazette, No. 186, of 1 August 2014).
Reproducing Central Archive materials
- The Document Access Service (DAS) provides reproductions of documents to users of the Central Archive. These reproductions are subject to the condition of the documents and the provisions of current legislation, specifically Law 16/1985 of 25 June on Spanish Historical Heritage and Royal Decree 1708/2011 of 18 November which establishes the Spanish Archival System and regulates the Archival System of the General State Administration and its Public Bodies and their access regime. The Document Access Service (DAS) will carry out these reproductions in adherence with public rates, according to the Resolution of 18 July 2014, of the Museo Nacional Centro de Arte Reina Sofía, by which the Agreement of the Royal Board of Trustees’ Standing Committee is published, and by which the commercial prices for rendering the Museo’s services and activities are established (BOE, Official State Gazette, No. 186, of 1 August 2014).
IT Resources
- The Library’s computers and network infrastructure provide access to resources inside and outside the Library domain. Users are responsible for their correct use, respecting the current legislation and regulations, the rights of the other users and the licencing and copyright of the software used on the machines.
- The computers and their electrical connection or data must not be tampered with.
Photographs and Recordings Inside the Facilities
- The Library facilities can only be photographed or recorded with prior authorisation from the Museo. This permission can be requested via email by writing to prensa@museoreinasofia.es
