Loaned works for exhibitions

The Museo Reina Sofía has a policy which enables the temporary loan of works from its Collections to be used for external exhibitions. Most works are available for loan, with the exception of those which, for reasons of conservation or permanent display, must remain in the Museo or have been loaned to other museums or institutions on the dates in which the loan has been requested. Loans are also available for exhibitions with material from the Museo’s Library and Documentation Centre — available for consultation in the catalogue — as well as those belonging to the Lafuente Archive Collection (located in Santander and partially available here).

Loan requests are only accepted from museums, institutions and foundations. Given the Museo’s responsibility to safeguard its heritage, loans are not granted to individuals, private companies or commercial galleries, and are not for promotional or propaganda purposes.

Before submitting a loan request, curatorial teams are advised to contact the people in charge of the requested collections to specify their selection and to outline any potential limitations involved in displaying the works in question.

A loan request evaluation will be carried out in accordance with factors inherent in the work (state of conservation, how often it has been exhibited, availability) and external aspects (exhibition project, the conditions of the proposed exhibition space), to be justified via a facility report.

Loan applications must be submitted at least six months prior to the exhibition’s opening to ensure the necessary official procedures can be processed. For material from the Lafuente Archive Collection, this deadline must be at least one year.

The Board of Trustees’ Standing Committee meets every two months, approximately, and reviews received applications. Once this meeting has been held, the applicant organisation will be officially notified in writing of the decision made in relation to the loan request. This written notification may take up to one month.

Once the loan request has been approved, the Museo will send the applicant organisation the specific loan conditions of the work(s), bearing in mind installation, couriers, insurance, conservation and cataloguing.

Formalising a loan request

A loan request letter must be sent for the attention of the Museo Nacional Centro de Arte Reina Sofía director:

All details related to the exhibition project must be included to ensure the correct evaluation of the loan. Any incomplete applications will delay the analysis of the request.

Required information:

  • Address and contact email of the person in charge and people involved
  • Exhibition title
  • Specific dates of the show: opening and end dates
  • Applicant organisation
  • Exhibition organisers
  • Venues: opening and end dates in each exhibition venue
  • Curator(s)
  • Project summary
  • A clear and detailed list of the specific works to be loaned, including accession number and, if possible, an image
  • Facility report: conditions and safety in the rooms where the work(s) will be displayed
  • Loan documents

Loan applications must be sent to the Museo at least six months before the exhibition opens to ensure the necessary official procedures can be processed. For material from the Lafuente Archive Collection, this deadline is at least one year before.

All expenses resulting from the loan will be borne by the borrower (frames, insurance, packaging, images, couriers, etc.).
